It is an interim record of proceedings until the authoritative record, the Journals of the House of Representatives is. They are then incorporated in Hansard (New Zealand Debates). Questions for written answer (and replies) are sred in the QWA database and on the parliamentary website. H1.6 House Pecuniary and other specified interests records The register of Members annual returns of their pecuniary and other specified interests (assets, payment interests, gifts, contributions or debts) the 9 years - providing that equals the copmletion of three terms of parliament D - Destroy ( Law and Note - the disposal action for this subclass of records has been reversed from the disposal action in DA which had this as an Archive record. That is because since DA was approved the Standing Orders have determined an appropriate procedure which must be followed. Note - the records are be destroyed as required by Standing Orders Appendix B which state that the record can only be destroyed after three complete terms of Parliament. Prior disposal the must confirm actual disposal date with ( Law and when the end date of the third complete term of Parliament is known.

Includes: - Committee of the Whole House notes - Documents tabled by leave - Financial ve records - Letters for urgent debate - Messages from the Governor General - Speeches from the throne The House forms itself in a Committee of the Whole House when it considers a bill in detail, with the Clerk s notes and related documents from each Committee also being used when preparing the Journals. Formal communications from the Governor-General the House are denoted as messages. Messages from the Governor-General giving the Crown's consent are required for bills which affect the property, rights or prerogatives of the Crown. For example; FYI material from government departments where they are informing Parliament about something, but where Parliament is not required take any action. Includes regulations. Papers presented are documents presented the House by Ministers or the Speaker. A petition is a document addressed the House of Representatives and signed by at least one person. It asks the House act on a matter of public policy or law, or put right a local or private concern. When a petition has been presented the House, it is referred a select committee for consideration and report. All petitions contain a 'petition request' (the primary request the House). This includes both single channel (open access) and multi-channel (restricted access records). The activities (and therefore the records) are centred on appointments and resignations and how the House is informed. The Clerk is actively in contact with the incumbents as the Office is the secretariat for the Speaker of the House. After receipt by Office of the Clerk 6 months D - Destroy Clerk of House The Public Act 2005 section 6 (a) specifically excludes ballot papers from the application of the act. However, previous disposal authorities have included election ballots as if they were public records. A separate subclass for election ballots has been included in this retention and disposal schedule support the principle that disposal actions and time periods for all records created/maintained by the Office of the Clerk are listed in one document. The retention period in this class has been reduced from what was aproved under DA as required by Elecral Act 1993 section 189 which specifies that the election ballots must be destroyed after 6 months. Recommended for destruction as the audio is only used for news casts etc. These audios are not kept for the web so not archived. There is a looping record database held at Parliament which is recycled when full and this lasts for approximately 6 months depending on how often the House sits. Radio New Zealand have some audio recordings which are usually destroyed after a few days once news cycle is complete. The formal record is Hansard (New Zealand Debates) O1.23 Public Parliament TV (PTV) Communications broadcasts Television footage of all Parliament TV broadcasts From date of recording 10 years A - Retain As (Communications and Education) At present the srage of these is contracted out the TVNZ Archives. At the end of each week the high resolution version of the footage is packaged up and sent out TVNZ for permanent retention. A low resolution copy is also provided an external supplier who provides a low resolution video on demand service covering these broadcasts.
