1 To: MOSAF Members From: Mike Hoffmann, Council, Fellows and Awards Committee Chair Subject: SAF Fellow Nominations The MOSAF Executive Committee approved a new process for selecting Fellow Candidates from our membership. Please find the attachment for specific details and deadlines. We are behind this year since the new process was approved at the summer meeting and the new process requires nominations to be made prior to the summer meeting. With that in mind, I am asking for nominations with written justification to be sent to me by August 15. Nominations can be made by any MOSAF member in good standing for themselves or any other MOSAF member. Note that SAF Fellows should have demonstrated leadership and service to SAF at multiple levels, (Chapter, State, Multi-State, or National). Please refer to the SAF Website for additional information on the Fellow process. After August 15, I will send an electronic survey out to all MOSAF members listing all nominated candidates. MOSAF members will vote on up to two candidates to determine support for a maximum of two Fellow candidates to be considered by the District 9 Fellows Committee. 2 Fellow Nomination Process Missouri Society of American Foresters May 14, 2015 Background In 2015 there were no nominations for Fellow from MoSAF, which was a missed opportunity. However, the situation was the same for all other states in District 9 except Ohio. Part of the problem in Missouri seems to be lack of a process or system for identifying candidates and provision of guidance to individual members about the nomination process. This objective of this proposal is to update the process and acquaint MoSAF members with the opportunity to recognize outstanding members for their contributions to SAF. In talking with other District 9 Fellow Committee members and Director Greg Hoss, the nomination procedure varies within each state. However, the majority of states include some type of general member endorsement of potential candidates from which a standing committee of the state society selects the nominees for a specific year. In the past, Missouri has used a petition submitted by individuals seeking Fellow nomination, signed by at least 25 MoSAF members in good standing, and forwarded to the Committee for Council, Fellows, & Awards for action. In the past few years, that system seems to have been abandoned. As the SAF District 9 Fellow Committee representative for MoSAF, my responsibility is primarily to examine nomination documents for conformance with national SAF guidelines for all candidates submitted in district 9 states and participating in voting on candidates to be forwarded to the national committee. Each state representative leads the discussion about their candidate(s) prior to the voting. The roll of the state representative does not include leadership in selection of candidates from their states, although most are involved to some extent. Fellows Nomination Process 1. Interested and qualified MoSAF members should submit a written request for consideration to the Council, Fellows, & Awards Committee chairman including a brief summary of their qualifications at least one week prior to the regular summer meeting of MoSAF. 2. MoSAF members can nominate other MoSAF members for Fellow consideration via a written justification to the Council, Fellows, & Awards Committee chair. This written justification should include a brief summary of the nominee s qualifications at least one week prior to the regular summer meeting of MoSAF 3. The names of all potential candidates who have submitted (or has been submitted for them) the required information will be announced at the summer business meeting and published in the next issue of the MoSAF Newsletter and listed on the MoSAF website. 4. The Council, Fellows & Awards Committee will conduct an electronic survey (eg. Survey Monkey or the National electronic voting process) enabling members to support a maximum of 2 candidates for Fellow to be submitted for consideration by the District 9 committee in the next nomination cycle. The survey must be completed by September 15 th of calendar year. 5. The Council, Fellows, & Awards Committee will select the two candidates who have attained the greatest member support and notify the two individuals of their selection by October 1 of the calendar year.

It will be the responsibility of each individual candidates/nominees to prepare their nomination documents according to current national SAF guidelines and submit the packet to the Chair of the Council, Fellows, & Awards committee by December 15 th of the current calendar year. It is recommended that all documents be submitted electronically as well as in printed form to expedite further processing. 7. The Council, Fellows, & Awards Committee will forward a maximum of two (2) nominations to the District 9 Fellows Committee representative as soon as possible after January 1 st for submission to the District 9 Fellows Committee. This committee takes action on all nominations during early Spring and forwards results to the national office for final election. Successful nominees are officially announced by the national office about the end of June and their pictures are published in a following issue of the Forestry Source. 4 Guidelines for Documenting SAF Fellow Nominations District 9 Fellow Committee 4/19/2012 The following is the SAF District 9 guidelines to assist Fellow nominees in completing their Biographical and Professional Information form. This is supplemental to the National SAF Fellow Criteria and Procedures. The intent of these guidelines is to help the nominee prepare a comprehensive report of why they are well qualified to be a Fellow in SAF. The report should be brief, but adequate. Members of the Region 9 Fellow Committee should work closely with the nominee from their state society to insure the best document possible. The documentation should only include what is pertinent in evaluating whether the candidate meets the criteria for Fellow. It should not be a laundry list of meetings, conferences, and workshops the candidate attended or links to other publications. If information in any other document is important and relevant it should be briefly summarized in this document. Work experiences that demonstrate leadership and achievement above the normal should be included. Just routine work and activities should not be included. A brief description of a few work activities that demonstrates how the nominee made a significant contribution to forestry is very valuable. Keep in mind that the National SAF Council reviews Fellow nominations in depth. They want to find the significant information quickly and not waste time on insignificant information. The report should emphasize quality, not quantity. It is important to document the contribution the nominee made to SAF at two levels of the organization. A brief description of activities that made a significant contribution to SAF should be shown. For example, if the nominee attended HSD they could discuss what important topic they brought to the meeting. If they were an officer what program did they initiate and/or accomplish. This is more helpful than just stating that they attended. They should include meetings that they help organize and/or made a presentation at, especially if it was a meeting or workshop for two or more state societies. Often it seems that a nominee shows lots of activities at the state level but do not show very much with adjacent state societies. This may be because these activities are more informal or may be workshops or conferences that are not SAF meetings, but are sponsored by SAF along with other organizations. This is important in state societies that are not connected with a multi-state society or a chapter. It is suggested that a letter of recommendation should be no more than two pages. If the nominee is qualified that should be an adequate amount of space. Persons writing the letters should be encourage to document additional contributions that the candidate has made. They should not just repeat what the candidate has written. Sometimes candidates do not include details of their significant accomplishments because they do not want to sound boastful. It is suggest that candidates not have all his or her letters from the same organization he or she works for. A Fellow represents the whole state or multi-state society, not just one organization. The intent of these suggestions are to improve the nomination documents and to send a well written report to National SAF Council so that there is no question the District 9 nominees are qualified for Fellow.
