3 Royal Court 2015 Deadlines and Meetings Friday, September 9 - Royal Court Packets become available via the student listserv & to club presidents. Tuesday, September 13 - Information Meeting at 9pm in Spiro Hall 4 Thursday, September 15 - Applications & top five theme choices are due by 12:00pm via to the Royal Court Advisor. - Themes will be distributed via by 3pm. Friday, September 16 - Campaign motto, banner description/draft & posters are due for approval to the Royal Court Advisor via by 12:00pm. - Candidates will be notified of campaign approval by 4:00pm. Monday, September 19 - Candidates can begin campaigning at 9:00am. All materials must be approved before they are used for campaigning. Tuesday, September 27 - Banner Competition will take place in the Main Dining Hall at 12:00pm with judging until 4:30pm. Thursday, September 29 - Royal Court Elections begin online at 10:00am. - Campaign Shirt Day. Students should wear the campaign shirt of their preferred candidate. Friday, September 30 - Royal Court Elections end at 3:00pm. All campaign materials must be removed by 4:00pm. -You are to attend madness before midnight from 6-9pm in the gym, you can dress down, but dress appropriately (NO torn or too revealing clothing) Saturday, October 1 - Fall Festival Parade begins at 5:00pm. Line up will begin at 4:30pm. -Banner competition winners will be announced at 5:15pm. - Homecoming Football game begins at 6:00pm. Royal Court will be sitting in designated area until halftime. Royal Court King and Queen winners will be announced during half time. 3
4 Theme This year, the theme will be open for you to choose. Feel free to be as creative as you want, but make sure that you Ariel with your top five choices and please make sure that you rank them in order of importance to you. Themes will be distributed on a first come, first serve basis, taking into account your rankings. Your themes will be distributed via by Thursday, September 14th by 3pm. Rules for Royal Court Eligibility A Junior or Senior student may submit a Royal Court Application for King or Queen. The candidate must be an undergraduate student sponsored by a SGA- Recognized Student Organization. Candidates must have a cumulative GPA of 2.5 or above. All candidates must have two representatives from their organization present at each Fall Festival Meeting. All candidates and organizations must remain in good academic & judicial standing with the College. Each organization may only put forth one candidate per position. There may only be one King and one Queen candidate sponsored per organization. All application materials must be submitted by to ariel.salisbury@wagner.edu. NO LATER THAN 12:00pm on Friday, September 15th. Theme choices submitted by the candidates and organizations are verified on a first come, first served basis and are due on Thursday, September 15th by 12:00pm. Candidates will be informed on the same day by 3:00pm regarding theme approvals. Royal Court Election Information Royal Court Elections will take place Thursday, September 29 th at 10:00am through Friday September 30 th at 3:00pm. The Royal Court Advisor must approve all campaign materials & t-shirt designs. There is no limit to the amount of campaign materials used. All materials must be approved by the Office of Co-Curricular Programs and must follow the Wagner College Posting Policy. (See Student Handbook page.37)** All campaign materials must be down by 4:00pm on Friday, September 30 th 4
5 Homecoming Game Information/ Regulations This year candidates will be featured in the Homecoming Parade around the Oval which will travel to the Walt Hameline Football Stadium. At 4:30pm, on Saturday October 1st, candidates will line up to be introduced on the Oval then join the parade. All sponsoring organizations will march in the parade with their banner. All participants must line up for the parade at 4:30pm. We will be announcing the banner winner after Royal Court introductions, so make sure that your organization attends. This year s Homecoming game will start at 6:00 pm. Winners will be announced during half time at the Homecoming football game. All Royal court candidates must sit in a designated section until halftime (weather permitting). All candidates must participate in halftime activities. Candidates will be escorted by their date from the parade. After all candidates are introduced, the winners will be announced. Please be aware that pictures will be taken following the announcement. Candidates MUST wear appropriate attire. Appropriate attire is specified as a full suit, including jacket and tie, or a formal dresses in any color EXCEPT for white. Representatives from organizations participating in the banner competition must attend the game. The role of the Homecoming Court candidate is to represent themselves and the college in the best light. Any candidate that appears intoxicated at any Royal Court event may be disqualified at the discretion of the Royal Court advisor or the Director of Co-Curricular Programs. 5
6 Campaign & Competition Code The Office of Co-Curricular Programs has structured a Royal Court/Banner Competition violation review process for organizations and individuals participating in Fall Festival. If an incident occurs that requires the attention of the Royal Court Advisor, a written statement should be submitted to the Royal Court Advisor via . Reporting a Policy Violation Any member of the College community may file a written report to the Royal Court Advisor within twenty-four hours following the closing of the polls when an individual, group/organization has allegedly violated the terms outlined in this packet or performed any action that may be of concern regarding their candidacy or presentation related to Fall Festival. Results will be considered unofficial until 24 hours after the polls close. Powers of the Royal Court Advisor (Decision/Outcome) Rule on a report which may involve turning it down. Disqualify a candidate (with the express consent of the Director of Co-Curricular Programs) Call a new election (with the express consent of the Director of Co-Curricular Programs & the Dean of Campus Life ) Place a student on election probation (with the express consent of the Director of Co- Curricular Programs) Impose a vote decline of no more than 10 votes per offense It is impossible to anticipate all infractions of the Royal Court and Wagner College policies. Therefore, penalties for any and all unanticipated infractions will be left up to the discretion of the Royal Court Advisor and as an appeal the Director of Co-Curricular Programs. Procedure for Handling a Policy Violation The Royal Court Advisor shall prepare and send written notice to the respondent (student candidate or organization s President) that includes the alleged policy violations via the College s system. Notification will include the time and location of the incident and a meeting time and place for a conference, which considers the student s or organization President s class schedule as printed from the College s student information system, with the Royal Court Advisor. At the conference, the alleged violations are explained to and discussed with the respondent by the Royal Court Advisor and then one of the following courses of action may be followed: The respondent may elect not to appear, at which time a decision will be made based on the preponderance of the information available without the respondent. The respondent may accept responsibility for the alleged violations. A sanction will be issued that is appropriate to the violation. If the respondent does not take responsibility for the alleged violations, the Royal Court Advisor will make a determination of responsibility based on all statements and reports submitted related to the incident. 6
7 Campaign & Competition Code (Continued) Appeal Process The Royal Court Advisor s decision may be appealed to the Director of Co-Curricular Programs within one business day of the week (Monday Friday) in writing. The Director of Co-Curricular Programs shall rule on appeals within three (3) business days from receipt of the appeal. The Director of Co-Curricular Programs may: Uphold the Royal Court Advisor s decision. Disqualify a candidate Call a new election (with the consent of the Dean of Campus Life ) Place any student on election probation Place any student on election suspension Impose a vote decline of no more than 10 votes per offense Requirements to Vote Student voters must be currently enrolled full time undergraduate Wagner College students with a valid Wagner College account Each voter is allowed two votes, one for King and one for Queen. Voting by proxy is strictly prohibited. Tabulation of Votes Results shall be privately tabulated by the Royal Court Advisor. There shall be no recounting of the results unless a request is made in the form of an official report in writing to the Royal Court Advisor. The recount may only be undertaken in the presence of the Director of Co-Curricular Programs and the current year Student Government Association President. The Royal Court Advisor shall not release the results of the elections to anyone until the formal announcement at the Homecoming Football Game. Banner Contest Judging This packet contains a copy of the judging sheet that will be used by the judges of the Fall Festival Banner competition. The judging committee will consist of: One Student Appointed by the President of the Student Government Association One Student Appointed by the Wagner College Activities Board President One Graduate Assistant Selected by the Royal Court Advisor One Staff Person from the Office of the Dean of Campus Life One Staff or Faculty Person who Currently Teaches at the College Selected by the Assistant Director of C-Curricular Programs 7
8 Banner Competition Rules and Regulations Participation is open to any SGA recognized organization on campus. Banner themes must support the overall Royal Court and Banner Competition theme. Organizations will be contacted by 3pm on Thursday, September 15 th regarding approval of their theme. Any meeting where two representatives from each organization are not present may lead to violation review by the Royal Court Advisor. Banners may not be duplicated from a previous year s Homecoming or Songfest design. No live animals are permitted. No pyrotechnics are permitted. No pre-purchased banners are permitted. Banners MUST be created on twin size sheets. Co-Curricular Programs must approve any variations. Sketches, dimensions and construction format of the banner are due on Friday, September 16 th. No additions to the banners are to be made after a design has been approved. Each banner MUST be hung from the railings of the Dining Hall between 11:00-3:30pm on Tuesday, September 27th at the Banner Judging event. Each banner must be represented in the Homecoming Parade. Members of the organizations walking behind the banner MUST meet on the Main Hall Steps for the parade around the Oval on Saturday, October 1st at 4:30pm. The Banner Judging Committee will decide upon any disqualifications or deductions of points with the Royal Court Advisor. Any violations of these rules and regulations may result in a disqualification of the group or a deduction of points from the total score. 8
