1 INTRODUCTION Dear Applicant SIA For life after spinal injury The Spinal Injuries Association (SIA) is the UK s leading charity supporting individuals who sustain damage to the spinal cord resulting in paralysis. We are a passionate, caring organisation with a forty-year track record of developing to meet the changing needs spinal cord injured people. Our Vision a fulfilled life for everyone affected by spinal cord injury. Our Mission - is to support all those affected by spinal cord injury by advising, educating and campaigning on their behalf. The success of our Governance & Facilities Manager is crucial to delivering that mission by ensuring we work with confidence within our governance, legal and regulatory framework. As users of our services, our Trustee Board is passionate about making sure that spinal cord people are supported and enabled to lead fulfilled lives, and feedback received from our 2015 Member Census confirmed the critical role that SIA has to play in helping to meet their needs and the needs of their families. With high levels of staff engagement and great commitment to our important role, SIA is repeatedly described as being a great place to work. 3 JOB DESCRIPTION Job Element Detail Job Title Reporting to Governance & Facilities Manager Chief Executive Officer Department/Location Executive Management/Milton Keynes Main Purpose The Governance & Facilities Manager will be responsible for supporting the organisation s trustee board (Governing Council) and its sub-committees, ensuring that the board operates at all times within its charitable objects and complies with any relevant legislative and regulatory law. They will also be responsible for managing the day-to-day running of the organisation s headquarters so as to provide a safe, secure and properly resourced environment for staff, trustees, volunteers and visitors, and will undertake line management of the CEO s PA and Executive team interns. Responsibilities Governance Guide the charity to act in accordance with its objectives, through being thoroughly conversant with the charity s governing documents, standard operating procedures and schemes of delegation. Monitor and interpret changes in the relevant legislation and the regulatory environment, highlighting to Trustees/ Executive the implications for the Charity and update the charity s policies and procedures, liaising with external advisers as relevant. Oversee systems that ensure the Charity complies with its legal and regulatory requirements, including maintaining the charity s statutory registers, filing returns at Companies House and the Charity Commission, and ensuring that SIA s records are kept updated. Organise and prepare agendas and papers for Governance meetings, working with committee Chairs to ensure these function efficiently and effectively, taking and transcribing minutes and monitoring follow up actions to ensure these have been completed. In liaison with the Chair and CEO, to organise a programme of induction for newly elected Trustees, providing all necessary documentation/information to ensure they are able to engage with their role knowledgeably. Support the continual development of the Charity s governance framework and support Trustees to adhere to the principles of good governance, including keeping the Governing Council Handbook up to date Organise the annual ballot for the election of Governing Council trustees, ensuring the production of all associated papers and liaising with the Electoral Reform Society to ensure elections are held in accordance with the Association s Memorandum and Articles of Association.

4 Organise, minute and follow up action points arising out of the organistion s AGM (and EGM when required), ensuring notification of meetings is circulated to SIA s membership in good time and that all related papers are supplied to attendees. Develop, maintain and update the Business Continuity Plan and organisational risk registers, providing the latter for Trustee review and approval when required. Ensure the maintenance and security of the Charity s official documents. Maintain and update the Scheme of Delegation and other key documents such as the corporate meeting calendar. Support the CEO in the development and renewal of legal contracts, including the tender processes and undertaking due diligence. Monitor and report on complaints in accordance with SIA s complaints policy and procedure. Provide support to the Chair and Trustees as appropriate. Deal with relevant correspondence, collate information and write reports, and ensure decisions are communicated effectively. Manage governance-related budgets, undertaking reforecasting and variance reporting when required. Facilities Management Manage the efficient running, maintenance and security of SIA House, the building itself and grounds including the sub-contractors involved Organise the selection of and contracts with suppliers, monitoring and attending to performance issues. Ensure appropriate and adequate insurance for the premises, employees and equipment is in place and renewed periodically. Take responsibility for health and safety, ensuring adherence to the SIA s Health & Safety Policy and that relevant Health & Safety Regulations are at all times complied with by staff, volunteers & visitors. Develop a capital budget for the charity, presenting business cases for its specific elements. Develop operating systems to improve the efficiency and effectiveness of the charity. Ensure the charity s operating policies and procedures are up to date, developing new ones as required. Manage the Facilities budget and ensure that all facilities are properly maintained/ kept in good repair within the confines of this budget.

5 Other duties Support the Charity s annual planning process. Undertake other duties as may be determined from time-to-time by the Chief Executive Officer. Reporting & Line Management To report to the CEO for all governance-related issues and to the Director of Services & Operations for all premises management-related issues. Engage in line management supervision and performance appraisal as required. Manage the CEO s PA, supporting him/her in the effective day-to-day running of the building and reception to ensure a sustained service. Manage the Executive Team interns, delegating duties as appropriate. Salary, Hours & Benefits Salary: up to 30,000 per annum (depending on experience) Hours: 35 per week, Monday to Friday Annual Leave: 28 days per annum increasing by one day per completed year of service to a maximum of 30 days. Access to Group Pension scheme (6% employer contribution) on successful completion of probationary period Access to Group Life Assurance scheme on commencement of employment Free car parking

14 LIST B: documents that demonstrate that the person has been granted leave to enter or remain in the UK for a limited period. If an individual provides documents from List B, the Spinal Injuries Association is required to carry out specified document checks before the employment of the individual begins and then carry out follow up checks of the same kind at least once every 12 months. 1. A passport or travel document endorsed to show that the holder is allowed to stay in the United Kingdom and is allowed to do the type of work in question, provided that it does not require the issue of a work permit. 2. A Biometric Immigration Document issued by the Border and Immigration Agency to the holder that indicates that the person named in it can stay in the United Kingdom and is allowed to do the work in question. 3. A work permit or other approval to take employment issued by the Home Office or the Border and Immigration Agency when produced in combination with either a passport or another travel document endorsed to show the holder is allowed to stay in the United Kingdom and is allowed to do the work in question, or a letter issued by the Home Office or the Border and Immigration Agency to the holder or the employer or prospective employer confirming the same. 4. A certificate of application issued by the Home Office or the Border and Immigration Agency to or for a family member of a national of a European Economic Area country or Switzerland stating that the holder is permitted to take employment which is less than 6 months old when produced in combination with evidence of verification by the Border and Immigration Agency Employer Checking Service. 5. A residence card or document issued by the Home Office or the Border and Immigration Agency to a family member of a national of a European Economic Area country or Switzerland. 6. An Application Registration Card issued by the Home Office or the Border and Immigration Agency stating that the holder is permitted to take employment, when produced in combination with evidence of verification by the Border and Immigration Agency Employer Checking Service. 7.
